Managing Counter Signers
A countersignature is an additional signature added to a document that has already been signed by a customer. Every agreement created with RevOps can be signed and countersigned. In this guide, we'll dive into the basics of getting countersignature set up and managing your counter signers. Learn how to:
- Set up default counter signer
- Assign counter signers based on Deal Owner
- Assign counter signers with a workflow
- Change deal counter signers
Your countersigner can always be manually re-assigned at any point during the signature process until the document is fully signed.
Set up default counter signer
Countersignature can be configured in the e-signature section of Workplace settings. Hover on Settings in the side navigation, then click on the E-Signature option.
With this feature is enabled, you want to select the User responsible for countersigning most, if not all, deals won within RevOps. All deals created within RevOps will assign this User as the counter signer. Remember to click the Save button to save your counter signer.
If you choose to disable counter signer when the deal is created a counter signer will not be auto-assigned to all deals. A counter signer can still be added during the deal desk process and may be assigned by team based assignment or a signature workflow.
Assign counter signers based on Deal Owner
Counter signers can be assigned to deals based on who creates the deal. This is useful if your Sales organization is segmented by region or verticals where specific members are responsible for countersigning deals for their assigned team. To set up:
- Create a Team and add Users to the team as Team Members .
- Add User(s) that would approve for the team as the Decision Makers.
- Add User(s) that would countersign for the team as the Counter Signers. If you add and select multiple Users as counter signers for the team, each User will be required to countersign all deals created by the team. Now, each time a deal is created by one of the team members, the designated counter signers on the team will be assigned as a counter signer for the deal. If a deal is created by a User that is not on a team, RevOps will fallback to your default counter signer.
Assign counter signers with a workflow
Counter signers can be assigned via workflows. For more information, view the Signature Assignment workflow page.
Change Deal Counter Signers
When a deal has been created, you’ll see the designated counter signer(s) in the Share & eSigning section of the Deal Overview.
To change the counter signer, click on the Edit button and select another User. Currently, only Users that are designated as “Counter Signers” on a team, or have the Admin, Deal Desk Manager, or Sales Manager roles can be added as Counter Signers to a deal. Counter signers can be changed by Users with the Admin or Deal Desk Manager role. If multiple counter signers are listed here, a countersignature will be required for each User. When no counter signers are listed, the agreement will not need to be countersigned.
Assignment Priority
RevOps will never assign more than one team of countersigners. The following flowchart represents the evaluation logic that is used to determine priority.
